Position

You will be in charge of taking care of day-to-day administrative tasks reliably, efficiently
and properly, so that our team runs smoothly.

Prior Experience

We are looking for an experienced professional. Ideally, you will have managed an office
with 15+ staff or worked as an Executive Assistant for someone with a very hectic, timesensitive
schedule. This position is not for first-timers, you must have prior experience.

A Normal Week

Over the course of a normal week, these would be some of the things that you would have done:

1. General Office
  • Taken incoming phone calls during the day routing them to the correct people or taking a message.
  • Replenished our flowers from the local florist.
  • Posted 5-10 welcome kits to customers.
  • Written 10 handwritten thank you notes.
  • Ensured that our cleaning lady cleaned the office, floor & desks properly.
  • Picked up some stationary, drinks & snacks for yourself and our team.
2. Scheduling & Travel
  • Booked the most cost-effective flights & hotels in advance for our team via http://flightfox.com.
  • Prepared clear travel itineraries for the team.
  • Organized our annual off-site meeting.
  • Scheduled 5-10 demos on the company calendar, and sent e-mail reminders one day prior.
3. Billing & Accounting
  • Ran payroll once per month.
  • Paid all expense claims via online bill payment.
  • Performed daily invoice & account reconciliation with Xero, Stripe and Keystone.
  • Mailed invoice reminders to 5-10 customers.
  • Prepared monthly management report and consolidated budget from Xero.

Location: Taipei
Salary & Benefits: Competitive salary - $50k NTD

Evaluation Criteria

Your performance will be evaluated based on the following criteria, please carefully consider the following points.

A: General Office

  1. Work Schedule: You arrive at the office to start your day on-time and keep a good work schedule in sync with the rest of the team. You prioritize your day and manage your time autonomously.
  2. Reliability: Your work is carried out efficiently with care from start to finish e.g. if you are mailing welcome kits, you ensure that they are packaged to arrive in good condition and with the correct mail service to arrive on-time.
  3. Prioritization: You know how to prioritize your time and plan tasks. You understand how to batch process your work e.g. if you are mailing welcome kits and thank you notes, you only make one trip to the post office at the end of the day vs. two trips in the middle of the day.
  4. Calm focus: You work calmly on one thing at a time without getting stressed out or overloaded.
  5. Figuring things out: You know how to find solutions resourcefully e.g. our banner stand got lost in the mail on its way to our conference in Berlin, how can we most cost-effectively replace it? You would google to find the cost of printing a sign in Berlin vs. printing in Hong Kong and overnight shipping it.
B: Scheduling & Travel

  1. Planning: You enjoy planning things and keeping an organized schedule e.g. you write notes down in an organized notebook or save to Evernote religiously. Your desk is organized and neat without loose paper.
  2. Travel Booking: You like finding great travel deals, browsing hotel reviews and planning trip itineraries for our team. You have a great eye for thrifty value and strong online travel booking skills e.g. booking the most cost-effective hotel within walking distance to our conference vs. booking a hotel 50-min away that would cost $50 less, but which would require a $75 taxi ride.
  3. Demo Scheduling: You keep tabs on where team members are at any given time alongside their time zones, so that you know to schedule a demo for a particular person, rather than assigning it to a colleague, who is traveling. You love optimizing things!
C: Billing & Accounting

  1. Reconciliation: You are comfortable with precise and accurate reconciliation of invoices. You never make arithmetic errors and you have basic experience with QuickBooks, Xero or another accounting system i.e. you know the difference between Accounts Payable and Accounts Receivable.
  2. Payroll: You run payroll precisely and on-time every month, so that everyone receives their salary and expense claims without delay.
  3. Expense Claims: You know how to manage expense claims, organize receipts and ensure that they are coded to the correct expense account code e.g. Skype fees are classified to Telephone & Internet.
